Short answer: Every price-match or best-rate claim wants the same five things: your booking reference, the cheaper rate's exact details, a link and a screenshot, and your request — sent before that site's own deadline, often 24 hours after you booked (C1, C2, O1). Copy the templates below and fill in your details.
That is really all a hotel price match email template is: the right facts, in the right order, sent on time. Miss one of the five and even a genuinely cheaper rate gets refused.
Do this now

- Open your confirmation email and find your reservation or booking number.
- Find the cheaper rate on a publicly bookable site - same room, board, guests and dates as yours.
- Screenshot it and copy the link now. Prices and availability move fast (O1).
- Pick the template below for where you booked, and fill in your own details.
- Send it before the deadline. Most hotel chains close the window 24 hours after you booked (C1, C2).
- No reply, or refused? Switch to the safe rebooking order instead: book the new rate, then cancel the old one (R1).
Which claim fits your booking
The deadline and the payout are different everywhere, and sending the wrong template wastes the one chance you get. Check yours against the table before you write anything.
| Where you booked | Window | What counts as a match | What approval pays |
|---|---|---|---|
| Booking.com | Must be online and available when they check it (O1) | Same property, room type, dates, cancellation policy, occupants and meal plan, in local currency (O1) | Price amended, or the difference refunded after your stay (O1) |
| Marriott | 24 hours of booking, at least 24h before check-in (C1) | A non-Marriott site matching hotel, room, bed type, guests up to two, inclusions, dates and cancellation policy (C1) | Match plus an extra 25% off (20% at Design Hotels), or 5,000 Bonvoy points (C1) |
| Hilton | 24 hours of booking, before check-in, one claim per booking (C2) | A qualifying rate at least 1% lower, same accommodation and terms (C2) | Match plus an additional 25% off the room rate (C2) |
| Agoda | File promptly; Agoda reviews the evidence (O5) | The same booking details on another site (O5) | Agoda decides: a price match or AgodaCash (O5) |
One thing holds across every row: these programmes compare your rate to another website, not to the same hotel's own price falling later. That gap only closes by rebooking, never by a claim form (C6).
As of October 2026, Expedia and Hotels.com have no price-match programme left to claim against - theirs ended on 28 July 2026 (O4). For those, skip straight to the rebooking route below.
Sample: how fast each claim window closes
Illustrative, hours after you bookThe Booking.com template
Use the "Found this room cheaper elsewhere?" link on your confirmation page, or send this to Customer Service with your screenshot attached (O1):
"I booked reservation [number] on [date] for [hotel], [room type], [dates], [guests]. I have found the identical room, same dates and same cancellation terms, on [site] at [price], link and screenshot attached. I would like the price matched under We Price Match."
Keep it factual. A lower price on Booking.com itself does not count - that is not a different website, so the match does not apply (O3). In that case, use the rebooking route instead. The full checklist is in Booking.com price dropped after booking.
The hotel-chain template (Marriott, Hilton and similar)
Chains want the same five things, plus one more: proof the rate is on a site that is not the hotel's own.
"I booked directly on [chain].com on [date], reservation [number], for [hotel], [room type], [bed type], [guests], [dates]. I found the same room and cancellation policy on [competing site] at [price] - link and screenshot attached. I am requesting the Best Rate match."
Submit it fast. Marriott and Hilton both close the window 24 hours after booking (C1, C2). Approval usually pays more than a simple refund - both chains add an extra 25% off on top of the match (C1, C2). Hyatt, IHG, Wyndham and the rest follow similar mechanics with a different reward; the full list is in how hotel price guarantees pay you back.

What if the claim gets refused?
Most refusals come down to one mismatch: a different room type or board plan, a missed 24-hour window, or a comparison site that is opaque, membership-only or mobile-only (C11). Booking.com excludes loyalty, coupon and login-gated prices for the same reason (O2). A rate that sold out before the team could verify it is refused too, even if your screenshot was genuine (C11). Read why best-rate claims get denied before you resubmit - most rejections are fixable the second time.
When there is no price-match programme at all
Travel agencies, packages and plenty of independent sites publish no price-match policy to claim against. The fallback still works everywhere: confirm the new rate is the same hotel, room, board, guests and dates - and also free to cancel - then book it, wait for the confirmation, and only then cancel the old booking before its deadline (R1). That deadline usually falls 24 to 72 hours before check-in (R3).
Before you compare two rates, check for taxes shown separately, a different currency, a login-only member price, a different board, or "pay at property" versus prepaid (R4). Two rates that look identical rarely are, and the mismatch is exactly what a declined claim or a messy cancellation comes down to.
Keep every screenshot and confirmation email until the whole thing is settled - a claim or a cancellation is much faster to sort out with the evidence already in one folder.

FAQ
What has to match for a price-match claim to work? The same hotel, room type, dates, guests, board and cancellation policy, on a site that is publicly bookable - not an opaque, loyalty-only or mobile-only rate (O1, C1, C2, C11).
How fast do I need to send it? For Marriott and Hilton, within 24 hours of booking (C1, C2). Booking.com states no fixed hour limit, but the competing offer must still be online when they check it (O1).
Does a lower price on the same site I booked on count? No. Booking.com's match compares your rate against another website, not itself (O3). The same logic applies to hotel chains - the comparison site must not be the chain's own (C1, C2).
What do I actually get if the claim is approved? It depends where you claimed. Booking.com amends the price or refunds the difference after your stay (O1). Marriott and Hilton add an extra 25% off on top of matching the rate (C1, C2). Agoda decides between a price match and AgodaCash (O5).
My claim was refused. What now? Check it against the common refusal list: a mismatched room or a missed window cause most rejections (C11). If it still does not qualify, the rebooking route works regardless of any programme (R1).
Do I need a screenshot, or is the link enough? Send both. The competing offer must still be online and available when it is checked, so a link plus a screenshot is the safest proof (O1).
