- Description: Denied claims fail on one of four checks: an inexact match, a missed 24-hour window, an opaque site, or a rate that sold out. Here is how to avoid each.

> **Short answer:** Most best rate guarantee claims get denied for one of four reasons: the comparison was not an exact match, the claim missed the window (often 24 hours), the competing rate sat on an opaque or member-only site, or it sold out before the chain verified it (C11). All four are avoidable — the checklist below shows how (C1, C2).

A denied best rate guarantee is rarely a mystery. Across the chains, the same handful of reasons repeats — and each one is something you can check before you file (C11). The four checks below come from the posted rules of nine chains and from reported claim outcomes (C11). Here is the short list, and the fix for every item on it.

1. **Match every detail before you file.** Same hotel, room and bed type, guests, dates, inclusions and cancellation policy (C1).
2. **Check the clock.** Marriott, Hilton and Hyatt all run 24-hour windows from booking (C1–C3).
3. **Use a publicly bookable rate.** Opaque, member-only and mobile-only offers are regular denial reasons (C11).
4. **Screenshot while the offer is live.** The competing rate must be available when it is verified (C2, C11).
5. **File once, correctly.** One claim per booking at Hilton, and no claims after check-in (C2).
6. **Have a fallback ready.** If the claim fails, a free-cancellation rebook is the route that remains (R1, C6).

Six checks, five minutes, one claim — and a fallback that works even when the claim does not (C6, R1).

## The four reasons best rate guarantee claims get denied

Start with the one you control: the match. A claim only works if the competing offer is the identical product — same hotel, room and bed type, same guests (up to two at Marriott), same inclusions, same dates and the same cancellation policy (C1). A "similar" room at a lower price is not a match, and chains say no on exactly that (C1, C11).

Second, the window. These claims close fast — typically within 24 hours of booking, and at Marriott, at least 24 hours before check-in as well (C1–C3). A rate you notice on day three is almost always too late (C1). The size of the price gap does not matter; the timing does (C1–C3).

Third, where the competing rate lives. Opaque rates, membership-only prices and mobile-only offers are recurring reasons for denial across the nine chains (C11). If it is not publicly bookable, it usually does not count (C11).

Fourth, availability. The competing rate has to be there when the chain reviews your claim — if it sold out first, the claim fails even though the offer was real when you saw it (C2, C11).

Notice the pattern: none of these reasons is about the price gap itself (C11). Chains deny on process, not on size — a clean, exact match with a modest gap gets paid, while a large gap built on a mismatched comparison does not (C1, C2, C11).

## How to file so it does not get denied

A clean file is short. Match the details, grab the evidence, file inside the window — and keep it factual. Filing well is a five-minute job when the details are right, and a lost cause when they are not.

1. Confirm the competing rate is the same product (C1).
2. Screenshot the full offer while it is live (C2).
3. Copy the direct link (C2, C11).
4. File within 24 hours of booking, never after check-in (C1–C3).
5. Keep one claim per booking, and keep every reply (C2).

A message that works:

> "I booked reservation \[number\] at \[hotel\] on \[date\] for \[dates\], \[room type\], \[guests\]. I have found the identical room, same dates and same cancellation terms, on \[site\] at \[price\]. Link and screenshot attached. Please review it under your best-rate guarantee."

Run the checklist below before you submit — it is the same five points, in order.

#### The five-point pre-file check

Run this before you submit

1. Identical room, bed, guests, inclusions and policy
2. Claim inside the 24-hour window
3. Publicly bookable competing rate
4. Offer live when the chain verifies it
5. One claim per booking, evidence saved

## If the claim is denied, what then?

A denial is not the end of the drop — it usually just means the guarantee window closed (C6). If your denial cites a mismatch, the rule it failed is usually quoted back to you — which makes the fix for next time obvious (C11). The guarantees compare other websites inside short windows; they never cover the hotel's own price falling later (C6).

What still works is the flexible-rate route: book the new lower rate first, get the confirmation, then cancel the old booking before its deadline (R1). On a non-refundable rate, that math does not work — rebooking usually costs more than it saves (R2).

The other chains' guarantees — [Accor, Radisson, Best Western and Choice](https://www.hotelhops.com/blog/more-hotel-chain-price-guarantees/) — run on the same short-window logic, so the same denial reasons apply (C7–C11). ## FAQ

**Why is a best rate guarantee denied so often?** Four reasons cover most denials: an inexact match, a missed claim window, an opaque or member-only competing rate, or a rate that sold out before verification (C11).

**What detail most often breaks a claim?** The product match. The competing offer must be the identical room, bed type, guests, dates, inclusions and cancellation policy (C1).

**I missed the 24-hour window. Can I still claim?** Generally no — Marriott, Hilton and Hyatt all run 24-hour windows, as of October 2026 (C1–C3). If your rate is flexible, watch and rebook lower instead (R1).

**Do member-only or mobile-only rates count?** They are among the regular denial reasons across the chains (C11). Use a publicly bookable rate, and screenshot it while it is live.

**What if the cheaper rate disappears before they check?** A standard denial: the competing rate must be available when the chain verifies it (C2, C11). Evidence captured the moment you see it gives the claim its best chance.

**What happens if the claim is approved?** You get the lower rate matched plus the chain's bonus — Marriott and Hilton add 25% off the matched rate; Hyatt and IHG pay points (C1–C4).

**Want it watched for you?** Add your booking at [app.hotelhops.com](https://app.hotelhops.com/login?lang=en&ref=hotelhops.com) — free, and a specialist helps you rebook.
